PerfectCall Inc. ("PerfectCall," "we," "our," or "us") values your privacy and is committed to protecting the personal information you share with us in connection with our products and services, including our PerfectCall Web Server, Coach's Device App, PerfectCall Hub, Player Devices, websites, mobile apps, cloud services, messaging systems, analytics, and related features (collectively, the "Services"). This Privacy Policy ("Policy") explains how we collect, use, share, retain, and protect information when you use the Services and your choices regarding that information. By accessing or using our Services, you agree to the terms of this Policy.

1. PERFECTCALL SERVICES, TEAMS, AND USERS

1.1 Our Services

PerfectCall provides a suite of products and services designed to help organize, manage, and operate sports teams, primarily in baseball and softball. Our Services may be used for a variety of purposes, including but not limited to creating and managing teams (each, a "Team"), maintaining rosters of athletes and participants (each, a "Player"), coordinating and communicating strategy during practices, games, and other events (each, an "Event"), and recording, analyzing, and reviewing data associated with such Events.

Through the Services, Users may, among other things:

The Services are made available through a combination of web‑based platforms, mobile applications, connected hardware devices, cloud‑based services, and related technologies. Use of the Services may involve the collection, processing, transmission, and storage of information as described in this Policy.

1.3 How We Handle Personal Information

Personal information collected in connection with the Services, including information relating to Users, Players, Teams, and Events, is handled in accordance with this Policy. In many cases, Team Admins control and manage the creation, use, display, and sharing of Player information and Team‑related content through the Services. PerfectCall processes such information to provide and operate the Services as directed by Users and as described in this Policy.


2. HOW WE COLLECT INFORMATION

We collect information about Users, Players, and others through a limited number of primary collection methods. This section describes the sources and circumstances under which information is collected. The specific categories of information collected through these methods are described in Section 3 below.

2.1 Information You Provide Directly

We collect information that you choose to provide directly to us when you use the Services, including when you create an account, create or manage a Team or Event, add Players or other Users, communicate with us, configure devices, or otherwise interact with the Services.

2.2 Information Collected Automatically Through Use of the Services

When you access or use the Services, certain information is collected automatically, including through websites, mobile applications, connected devices, and cloud-based systems. This information is collected through technologies such as cookies, device logs, server logs, and similar mechanisms.

2.3 Information Provided by Team Admins or Other Users

In many cases, information about Players or other Users is provided to PerfectCall by Team Admins or other authorized Users, such as when rosters are created, Players are added to Teams, or Events are administered. Team Admins are generally responsible for ensuring they have the authority to provide such information.

2.4 Information from Third Parties

We may receive information from third parties, including service providers, affiliates, integration partners, and publicly available sources, to support the operation of the Services, authenticate Users, process transactions, or supplement information we already have.

2.5 Information Collected Offline

We may collect information offline, such as during in-person meetings, demonstrations, events, or customer support interactions. Any information collected offline will be treated in accordance with this Policy.


3. CATEGORIES OF INFORMATION WE COLLECT

This section describes the types and categories of information that may be collected through the methods described in Section 2. The specific information collected depends on how the Services are used and the role of the User or Player involved.

3.1 Account and Contact Information

Identifiers and contact details, such as name, email address, phone number, username, login credentials, authentication information, and account preferences.

3.2 Team, Player, and Roster Information

Information related to Teams and Players, including team names and identifiers, Player names, jersey numbers, positions, roles, roster associations, and relationships between Teams, Players, and Events.

3.3 Event, Game, and Performance Information

Information generated through participation in Events and use of the Services, such as Event details, play calls, instructions, messages, logged play outcomes, pitch data, performance metrics, tags, statistics, analytics, and related summaries.

3.4 User Content and Communications

Content and communications created, uploaded, transmitted, or stored through the Services, including messages, instructions, notes, logs, annotations, feedback, and communications with PerfectCall.

3.5 Device, Usage, and Technical Information

Technical and usage data, such as device identifiers, hardware model, operating system, firmware and application versions, IP address, network information, usage activity, timestamps, interaction data, logs, and diagnostic information generated by devices, applications, or cloud services.

3.6 Payment and Transaction Information

Information related to purchases or subscriptions, such as billing contact information, transaction records, subscription status, and payment method information processed by third-party payment processors.

3.7 Information from Third Parties

Information received from third parties, including authentication providers, analytics partners, integration partners, service providers, or publicly available sources, where permitted by law.

3.8 De-Identified and Aggregated Information

Information that has been de-identified or aggregated so that it cannot reasonably be used to identify an individual, which may be used for analytics, research, reporting, and product improvement.


4. ONLINE USER ACTIVITY

We and our service providers automatically collect certain information related to how Users and Players interact with the Services online and through connected applications and devices. This information helps us operate, secure, analyze, and improve the Services.

4.1 Cookies and Similar Technologies

We may use cookies, web beacons, pixels, local storage, and similar technologies on our websites and applications to collect information about usage, preferences, and interactions. Cookies may be session-based or persistent and are used for purposes such as authentication, remembering preferences, analytics, and security.

You may be able to manage or disable cookies through your browser or device settings; however, doing so may limit certain features or functionality of the Services.

4.2 Analytics and Measurement Tools

We may use internal analytics tools and server-side measurement technologies to understand how the Services are used, diagnose technical issues, measure performance, and improve functionality. These tools do not rely on third-party software development kits embedded in the Services.

The information collected through these tools may include usage data, device information, application interactions, and aggregated analytics.

4.3 Device and Log Information

When you use the Services, including connected hardware devices, we may automatically collect log and technical information such as IP address, device identifiers, operating system, firmware or application version, timestamps, error logs, and diagnostic data. This information is used to support functionality, troubleshoot issues, ensure security, and improve reliability.

4.4 Interest-Based Advertising and Measurement

To the extent permitted by law, we or our partners may use cookies and similar technologies to measure the effectiveness of communications, understand engagement, and deliver relevant information or promotions.

4.5 Do Not Track Signals

Some browsers transmit "Do Not Track" or similar signals. Because there is no uniform standard for interpreting these signals, the Services do not currently respond to them.


5. CHILDREN'S INFORMATION

The Services are intended for use by coaches, teams, and other authorized users and are not directed to children under the age of 13. PerfectCall does not knowingly collect personal information directly from children under 13 without appropriate consent.

In many cases, information about Players who may be under the age of 13 is provided to PerfectCall by Team Admins, such as coaches or team managers, in connection with creating or managing Teams, rosters, and Events. Team Admins are responsible for ensuring that they have obtained any necessary parental or guardian consent required by applicable law before providing such information to PerfectCall.

PerfectCall relies on Team Admins to manage Player information appropriately and to determine what information is shared, displayed, or made accessible through the Services. We process Player information as directed by Team Admins and in accordance with this Policy.

If we become aware that we have collected personal information directly from a child under 13 without the required consent, we will take reasonable steps to delete such information as soon as practicable.

Parents or legal guardians who believe that their child's personal information has been provided to PerfectCall without appropriate consent may contact us using the information provided in the Contact Information section below to request review, correction, or deletion of that information.


6. HOW WE USE PERSONAL INFORMATION

We use personal information for the purposes described below. The specific uses depend on how the Services are used and the role of the User or Player involved. We use personal information only as permitted by applicable law and as necessary to operate, maintain, and improve the Services.

We may share personal information in the limited circumstances described below. We do not share personal information except as necessary to operate the Services, comply with the law, or as directed or authorized by Users.

7.1 Sharing with Team Admins and Other Users

Information relating to Teams, Players, Events, and User Content may be shared with Team Admins and other authorized Users in accordance with the permissions and settings established within the Services. For example, Team Admins may have access to roster information, Event data, communications, and performance information associated with their Teams. PerfectCall shares such information as directed by Users through their use of the Services.

7.2 Sharing with Service Providers

We may share personal information with third-party service providers that perform services on our behalf, such as hosting, data storage, analytics, customer support, communications, security, and payment processing. These service providers are authorized to use personal information only as necessary to perform services for PerfectCall and are subject to contractual obligations to protect the information.

We may disclose personal information if we believe in good faith that such disclosure is necessary to:

Such sharing may occur through cookies, similar tracking technologies, or data extracts, and is intended to help deliver information, promotions, or offerings that may be of interest to you.

You may opt out of this sharing as described in Section 8 below. Where you have not opted out, we may share your contact information with third parties that we believe may offer products or services relevant to your interests.


8. INTEREST-BASED ADVERTISING

PerfectCall may work with advertising, marketing, and measurement partners to deliver communications, promotions, or content that may be relevant to Users. These partners may use cookies and similar technologies to collect Online User Activity and other information over time and across different services.

To the extent permitted by applicable law, PerfectCall may share identifying information, including Online User Activity and, where applicable, contact or transaction-related information, with such partners for advertising, measurement, or promotional purposes.

You may opt out of certain interest-based advertising or data sharing by adjusting your browser or device settings, using available opt-out mechanisms provided by advertising partners, or contacting us directly. Opting out does not mean that you will no longer receive communications, but it may limit the relevance of the content you receive.


9. YOUR PRIVACY CHOICES

PerfectCall provides Users with choices regarding how their personal information is used and shared. The availability of certain choices may depend on your role, how you use the Services, and applicable law.

9.1 Account and Profile Information

You may review, update, or correct certain account and profile information at any time by logging into your account or by contacting us. Some information associated with a Team or Player roster may need to be updated by a Team Admin.

9.2 Communications Preferences

You may opt out of receiving promotional or marketing emails from PerfectCall by following the unsubscribe instructions included in those communications. Even if you opt out of marketing messages, you may continue to receive transactional or service-related communications, such as account notices, security alerts, or important updates.

9.3 Advertising and Analytics Choices

You may have choices regarding interest-based advertising and analytics, including the ability to opt out of certain advertising or data-sharing practices as described in Section 8 (Interest-Based Advertising). You may exercise these choices through available browser or device controls, opt-out mechanisms provided by advertising partners, or by contacting us directly.

9.4 Cookies and Similar Technologies

Most web browsers allow you to manage cookies and similar technologies through browser settings. You may be able to disable or delete cookies; however, doing so may affect the availability or functionality of certain features of the Services.

9.5 Push Notifications and Device Settings

You may control push notifications and certain data collection through your device or application settings. Disabling notifications or permissions may limit some functionality of the Services.

9.6 Access, Deletion, and Account Closure

You may request access to, correction of, or deletion of your personal information, or request closure of your account, by contacting us using the information provided in the Contact Information section below. Such requests are subject to verification, legal requirements, and operational limitations, including information that must be retained for legal, security, or business purposes.

Registered Users may review, update, or correct certain account information by logging into their account and modifying their profile settings. This may include contact information, login credentials, and preferences.

10.2 Team, Player, and Roster Information

Information associated with a Team, Player, or roster is generally managed by Team Admins. If you are a Player or other User and believe that information associated with you is inaccurate or outdated, you may need to contact the applicable Team Admin to request updates or corrections.

10.3 Limitations and Verification

Requests to update or correct information may be subject to verification requirements, technical limitations, or legal obligations. In some cases, we may not be able to modify information that is:

11. SPECIAL NOTICE REGARDING TEXT MESSAGES

PerfectCall may offer text messaging or SMS communications in connection with certain features of the Services, such as alerts, notifications, or account-related messages. Participation in text messaging programs is voluntary and requires your affirmative consent.

By opting in to receive text messages, you consent to receive automated or non-automated text messages from PerfectCall at the mobile number you provide. Message frequency may vary. Standard message and data rates may apply based on your mobile carrier and plan.

You may opt out of receiving text messages at any time by following the instructions provided in the message, such as replying "STOP," or by contacting us directly. Opting out of text messages will not affect your ability to receive non-SMS communications or use the Services, although certain SMS-based features may no longer be available.


12. SECURITY AND RETENTION

We implement reasonable technical, administrative, and physical safeguards designed to protect personal information from unauthorized access, disclosure, alteration, or destruction. These measures are intended to align with industry standards and the sensitivity of the information we collect.

Despite these efforts, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. Users are responsible for maintaining the confidentiality of their login credentials and for any activity that occurs under their accounts.

We retain personal information for as long as reasonably necessary to provide and operate the Services, comply with legal and regulatory obligations, resolve disputes, enforce our agreements, and fulfill the purposes described in this Policy. Retention periods may vary depending on the nature of the information, legal requirements, and operational needs.

PerfectCall is not responsible for the privacy practices, content, or policies of third-party websites or services.
